Terms & Conditions

Last updated: 4 October 2026

These Terms & Conditions ("Terms") govern the use of Scoobycares' website and platform (the "Service") by veterinary clinics and their staff ("Clinics") and by the pet parents who use a Clinic's Scoobycares account ("Pet Parents"), whether based in India or elsewhere. By creating an account, logging in, or using the Service, you agree to these Terms.

1. The Service

Scoobycares is a multi-tenant practice-management platform. Each Clinic that signs up gets its own isolated workspace covering appointment booking (online consultations, in-clinic visits and home visits), medical records, prescriptions, vaccinations, grooming (in-clinic and home-visit, including live groomer tracking), billing/invoicing, staff management, and ScoobyPaw, our built-in AI assistant.

2. Accounts

  • A Clinic is responsible for the accuracy of the information it enters and for managing which staff members have access to its account.
  • Pet Parent accounts may be self-registered or created by Clinic staff on a customer's behalf. When Clinic staff create an account, the person receives a one-time link to set their own password; staff never choose or see it.
  • You are responsible for keeping your login credentials confidential and for all activity under your account. Tell your Clinic (or us) immediately if you suspect unauthorized access.
  • You must be legally able to enter into a contract to create a Clinic account.

3. Subscription & Fees

Free trial. New Clinic accounts are reviewed and approved by Scoobycares before they can be used. Once approved, a Clinic gets a 60-day free trial. No payment details are needed for the trial and nothing is charged automatically when it ends; to keep using Scoobycares after the trial, the Clinic chooses a paid plan. If it doesn't, access is paused, and its data is kept as described in our Privacy Policy.

Plan limits. Each plan includes set limits (for example, the number of branches, doctors, staff, pet parents, pets or appointments per month). When a limit is reached, new additions are paused until the Clinic upgrades or the next month begins; existing records are never deleted because of a limit.

Clinics subscribe to Scoobycares under the plan and modules selected at sign-up or agreed separately with us. Fees, billing cycle and included modules are as communicated to the Clinic at the time of purchase or renewal. We may change our pricing for future billing cycles with reasonable advance notice. Non-payment may result in a Clinic's access being suspended until the account is brought current - see our Refund & Cancellation Policy for how cancellations and refunds are handled.

4. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose, or to store or transmit data you don't have the right to store or share.
  • Attempt to access another Clinic's data, or any account that isn't yours.
  • Attempt to probe, scan, disrupt, or gain unauthorized access to the Service or its underlying infrastructure.
  • Upload malicious files, or content that infringes someone else's rights.
  • Misrepresent medical information entered into the platform.

5. Medical Disclaimer

Scoobycares is a record-keeping and communication tool, not a substitute for professional veterinary judgment. Diagnoses, treatment plans and prescriptions recorded on the platform are the responsibility of the treating doctor at the Clinic, not of Scoobycares. Answers from ScoobyPaw that are labeled as general AI-generated information are provided for general awareness only and should never be relied on in place of an actual consultation, especially for anything urgent.

6. Data Ownership

As between a Clinic and Scoobycares, the Clinic owns the medical and business records it creates on the platform. As between a Pet Parent and their Clinic, ownership of a pet's medical record is governed by the Clinic's own policies and applicable law; Scoobycares simply hosts and processes this data on the Clinic's behalf, as described in our Privacy Policy.

7. Intellectual Property

The Scoobycares name, logo, software, and platform design are owned by Scoobycares. Nothing in these Terms transfers that ownership to a Clinic or Pet Parent - you receive only the right to use the Service as intended for the duration of an active subscription.

8. Termination

A Clinic may stop using the Service at any time. We may suspend or terminate access for a violation of these Terms, non-payment, or if required by law. On termination, we will retain data only as long as described in our Privacy Policy's retention section.

9. Messages to Pet Parents

  • Clinics can send booking updates, reminders and account set-up links to pet parents by SMS and WhatsApp through Scoobycares. The Clinic is responsible for having its customers' permission to contact them and for the content of any message templates it customises.
  • Delivery depends on mobile networks, WhatsApp and our messaging provider. We can't guarantee every message arrives, so reminders are a convenience and do not replace a Clinic's own follow-up on care.
  • In some countries, including India, business SMS must be registered with telecom authorities before it is delivered; we'll help Clinics with this, but delivery may be limited until it is complete.

10. Third-Party Services

Some features rely on other companies' services, such as messaging (Twilio, WhatsApp), video calls (Google Meet, Jitsi), calendars and maps (Google, OpenStreetMap) and the AI model behind ScoobyPaw. Their use is also subject to those providers' own terms. If a Clinic connects its own tools (for example an n8n automation or a Google account), the Clinic is responsible for those connections.

11. Availability

We work to keep Scoobycares available and its data safe, but the Service is provided "as is" and "as available". There may be occasional downtime for maintenance or reasons outside our control, and we don't guarantee uninterrupted or error-free operation.

12. Limitation of Liability

To the maximum extent permitted by law, Scoobycares is not liable for indirect, incidental or consequential damages arising from use of the Service, including but not limited to loss of data, loss of business, or medical outcomes resulting from decisions made using information recorded on or generated by the platform. Nothing here limits liability that cannot be limited under applicable law.

13. Indemnification

You agree to indemnify Scoobycares against claims arising from your misuse of the Service, violation of these Terms, or violation of a third party's rights through your use of the platform.

14. Changes to the Service or These Terms

We may update the Service and these Terms from time to time. Continued use of the Service after an update means you accept the revised Terms. Material changes will be announced with an updated "Last updated" date above.

15. Governing Law

These Terms are governed by the laws of India, without regard to conflict-of-law principles, unless a separate written agreement with your Clinic specifies otherwise. We work with Clinics outside India as well; where local law grants you additional rights that cannot be waived, this section does not override them.
